SUMMARY OF RESPONSIBILITIES:
The Executive Assistant provides administrative support to the CEO, Board and Directors. The incumbent gathers information and conducts research, drafts reports and communication on behalf of the CEO, coordinates meetings and events, manages the scheduling of activities for the CEO, reviews incoming correspondence, prepares outgoing correspondence. The incumbent is responsible for maintaining BCIC's corporate database and library. The Assistant liaises with, and provides information regarding, Council Affairs activities to other departments, clients and representatives of government and industry.

BCIC develops entrepreneurial talent and commercializes technology through startup companies and partnerships between industry and academia. BCIC focuses on competitively positioning British Columbia in today's global knowledge economy in order to provide significant employment opportunities and a high standard of living for British Columbians.
The Executive Department of the Council provides leadership in the development of the Council's strategic plan and annual business plan and leads the analysis and development of policies, programs and practices to support Council priorities and initiatives. It provides Secretariat, administrative support and resources for the Council and its committees, assists in the implementation of Council decisions and maintains Council Board records. The CEO oversees all Council departments in the development of programs and performance measures and undertakes program evaluation. In addition, it is ultimately responsible for all BCIC communications, events and exhibitions, marketing and public awareness functions and coordinates the preparation of Council newsletters, brochures and other materials, videos and the Annual Report. The department also leads Council’s activities in international partnerships and relations.
The Executive Assistant reports to the CEO and provides support to other executive members.
MAJOR ACCOUNTABILITIES:
• To work closely with the CEO to ensure that all projects and contracts are up to date and ensure relevant managers produce weekly, monthly and quarterly management reports for the CEO outlining progress on all projects, tasks and delegations
• Liaise on behalf of the CEO. Coordinate all business review meetings, to include location, schedule, site visits where necessary and content of presentations.
• Preparation of briefing notes for the CEO including business development, governmental, internal and industry opportunities.
• To prepare, proofread and edit all outgoing correspondence, i.e. letters, funding proposals, press releases, marketing materials, written reports, presentations and newsletters; on behalf of the CEO.
• To manage the CEO’s workload, act as gatekeeper and follow up on meetings, external contacts, ideas for new business, etc.
• Undertake a lead role in the preparation of market assessments and resultant strategic development work. Requires the clear and concise presentation and analysis of data (including maps).
• To provide regular updates on government policies and government legislations
• Management of highly sensitive information.
• Arranges Board and Sub-Committee calendar, manages the Board package documentation, including review, modification and preparation of all pre-read material, perform minute taking and follow up of action log for all board meetings.
• A wide range of miscellaneous administrative tasks including Reception and filing duties.
• Undertake any other relevant duties that may be required.
POSITION QUALIFICATIONS:
• A university degree plus considerable work experience; OR an equivalent combination of education and experience.
• Advanced analytical and strategic thinking, excellent organizational and administrative skills; exceptional communication and interpersonal skills.
• Ability to meet deadlines, work well under pressure and handle multiple tasks.
• Knowledge of database and information storage and retrieval.
