Project and Office Manager

At WiderFunnel we analyze, plan, design, and deliver website pages that are statistically proven (through Multivariate and A/B split-testing) to persuade more prospects to become leads and customers.
Based in Vancouver, BC, WiderFunnel provides services to clients throughout North America, Europe and Asia including eBay, Electronic Arts, SAP, Intel, W3i and many others.

The Opportunity
We have an immediate opening for a Project & Office Manager, experienced in tracking projects, bookkeeping and administration to work closely with the CEO in the management and administration of client projects. This is both an internal and client-facing role that requires exceptional administrative and communications skills.

Type of Employment: Permanent, Full-Time
Location: Downtown Vancouver, BC

Job Objective
To plan, resource and oversee all client and internal projects ensuring 100% on-time and on-budget completion.

Key Responsibilities
• Coordinate designers, copywriters, developers and other team members to ensure their schedules are allocated and not overbooked.
• Manage designer, copywriter, developer and other resources for projects to make sure their deliverables are received on time and on budget
• Coordinate project budgets and timelines with client Account Managers and manage the impact of client revisions and unexpected delays
• Manage employees’ timesheet, payroll, benefit program, vacation bookings
• Book presentations and meetings with clients
• Coordinate the hiring and interviewing process for employees and contractors
• Bookkeeping entries for Payables and Receivables, ensuring appropriate revenue recognition and project costing using QuickBooks
• Project invoicing, ensuring appropriate tax and following payment schedule defined in the client contract
• Managing Accounts Receivables, Payables and collections
• Produce monthly financial reports and per-project profitability reports using established reports and guidelines

Knowledge, Skills, and Abilities
• Excellent interpersonal and administrative skills a must
• Experience in resource management in a Direct or Interactive or Advertising agency
• Experienced in bookkeeping and administrative processes
• Experience with:
• Accounting applications (e.g. QuickBooks, Harvest)
• Project management applications (e.g. Basecamp)
• CRM applications (e.g., Zoho, Salesforce.com)
• Online webinar applications (e.g., Gotomeeting; Webex)
• WordPress and other CMS systems
• Expert level in Word, Excel, PowerPoint and Outlook
• Professional and friendly communication skills (written and verbal)
• Ability to manage many projects simultaneously
• Pro-active in problem solving and taking responsibility to continuously improve our results
• Post secondary education, preferably in Business
• Comfortable working in a busy, fast-growing agency environment
• 3-4 years experience with track record of demonstrated accomplishment
• Strong technology base, with awareness of developing trends and IT solutions

• Detail oriented with excellent analytical and problem solving skills and logical thought processes
• Very comfortable with online marketing tools and techniques, and able to adapt them to the WiderFunnel environment
• Pro-active in problem solving and taking responsibility to continuously improve our results
