Office Admn Assistant / EA (Vancouver, Broadway)

The ideal candidate comes with 3-4 years similar experience and preferable


with some College/University education.


Should be well organized, able to multi-task and be fairly detail oriented.


The Office/Executive Assistant is responsible for area such as: Assisting


Director and other duties including Administration, Accounting, Purchasing,


Marketing and Operations.





Some of the responsibilities & Duties will include (but not limited to):





Administration & Accounting


- Administrative Functions (daily mail, faxes, office administration)


- Assisting Director/s (scheduling, travel, phone calls, mail &


correspondence, other misc EA duties and personal errands)


- Assist with Customer quotations for clients


- Financial duties (bank deposits, cash flow statements, etc)


- A/R (Invoicing, collections, credit checks, check lists, filing)


- A/P (Invoice approval, match to PO, check lists, filing)


- Liaising with external Bookkeeper, Accountants/Lawyers


- Use & administration of Applications such as Simply Accounting, MS Office, Maximizer, Outlook


- Office Housekeeping (stationary, kitchen, phone systems, Landlord, etc)





Purchasing


- Negotiating prices & issuing PO's to suppliers/vendors/distributors,


- handling Courier Shipping & Receiving and Returns


- monthly reporting, Product knowledge and updates





Marketing


- Organize marketing campaigns, seminars, trade shows, promotional events


- Assist in managing, planning, designing and lead generation, & sales


campaigns


- Develop, implement and execute marketing plan


- maintain and update company website
